Privacy Policy

We respect your privacy. This policy explains what data we collect, why we collect it, and how we protect it. Compliant with India's DPDP Act 2023 and IT Act 2000.

1. Introduction

TasqMan respects your privacy and is committed to protecting the personal data you share with us. This Privacy Policy explains what information we collect, why we collect it, how we use and store it, and the rights you have in relation to it. This policy is compliant with India's Digital Personal Data Protection (DPDP) Act 2023 and the Information Technology Act, 2000.

2. Information We Collect

Account data

Your name, email address, company name, and password (stored as a one-way hash — we never store your plaintext password).

Usage data

The tasks, projects, team members, attachments, and comments you create within TasqMan. This is your content and remains yours.

Technical data

IP address, browser type, device information, and server access logs. This data is used for security and debugging.

Location data (Field Visits — optional)

If your organisation uses the Sales CRM, tapping "Log Visit" records your device's location at that single moment, so the visit can be attached to the customer site you visited. We take one reading per tap. We do not collect your location in the background, while the app is closed, on a schedule, or at any time you have not tapped "Log Visit" — the app requests only "While Using the App" permission and contains no background-location capability. Location is optional: if you decline the permission or it fails, the visit is still saved and simply marked "location missing". To show a readable address, the coordinate may be passed to your phone's built-in Apple or Google geocoding service.

Photos and attachments

Photos you choose to capture or select, and files you attach to a task, visit, lead, or comment. We access your camera or photo library only at the moment you choose to attach something — never in the background.

Communication data

Emails, messages, or support requests you send to us at support@tasqman.com.

3. Workplace Accounts — Who Controls Your Data

TasqMan is used by organisations. When your employer subscribes to TasqMan and creates an account for you, your employer is the Data Fiduciary for the work data in that account and TasqMan acts as a Data Processor, handling that data on your employer's instructions and only to provide the service.

What this means for you

  • Content you create at work — tasks, leads, visit records, visit locations, notes and attachments — belongs to your organisation’s account, not to your personal account.
  • Administrators and managers in your organisation can see that content, including the location and time recorded when you tap "Log Visit". Nobody outside your organisation can see it.
  • Your employer decides which features are enabled, who is assigned which role, and how long records are kept.
  • TasqMan does not use your work content to build a profile of you, does not sell it, and does not use it for advertising.

Responsibilities of the subscribing organisation

If you are an organisation using TasqMan, you are responsible for informing your employees about the data the platform records — in particular that visit location is captured when they tap "Log Visit" and is visible to their managers — and for having a lawful basis under applicable law, including the DPDP Act 2023, for that processing and for any workplace policy built on it.

If you want to access, correct, or delete data held in your employer's TasqMan account, please raise it with your employer first — they control that account. Write to us at support@tasqman.com and we will support them in responding.

4. How We Use Your Information

  • To provide, operate, and improve the TasqMan platform.
  • To send transactional notifications — account creation, billing confirmations, password resets.
  • To respond to your support requests and help you resolve issues.
  • To send product updates and announcements (you can opt out at any time).
  • To record where and when a field visit was logged, so that the visit can be attached to the right customer and reviewed by your organisation. We do not use this to monitor your movements outside the moment you log a visit.
  • To analyse anonymised, aggregated usage patterns to improve the product.
  • To meet legal obligations and enforce our Terms of Service.

5. Data Sharing & Third Parties

We do not sell your personal data to any third party. We share data only with the following service providers who help us operate TasqMan:

Brevo (Sendinblue)

Transactional and marketing email delivery. privacy.brevo.com

Cloudflare (Turnstile)

Firebase (Google)

Payment processors

We do not store card details. All payment data is handled directly by our payment provider under their own PCI-DSS compliance.

6. Data Storage & Security

Your data is stored on secured cloud servers located in India and/or the European Union. All data is encrypted in transit using TLS (HTTPS) and encrypted at rest. Access to production data is restricted to authorised personnel only. We maintain regular encrypted backups. While we employ industry-standard security measures, no system is completely immune to threats; we encourage you to use a strong, unique password and to enable any available account security features.

7. Data Retention

We retain your personal data for as long as your account is active or as necessary to provide you with the Service. After account cancellation or deletion, your data is retained for 30 days to allow for accidental deletion recovery, then permanently purged from active systems. Encrypted backup copies are purged within 90 days of account deletion. You may request earlier deletion by contacting support@tasqman.com.

Work records held in an organisation's account — including field visit records and their location — are retained for as long as that organisation keeps them, and are deleted when the organisation deletes them or closes its TasqMan subscription. See Section 3.

8. Your Rights (under DPDP Act 2023)

Under India's Digital Personal Data Protection Act 2023, you have the following rights:

  • Right to access: Request a copy of the personal data we hold about you.
  • Right to correction: Request correction of inaccurate or incomplete personal data.
  • Right to erasure: Request deletion of your personal data, subject to legal obligations.
  • Right to data portability: Request your data in a machine-readable format.
  • Right to withdraw consent: Withdraw consent for processing at any time (where processing is consent-based).

To exercise any of these rights, email us at support@tasqman.com. We will respond within 30 days.

If the data sits inside an account created for you by your employer, your employer is the Data Fiduciary and we will direct your request to them and assist them in fulfilling it — see Section 3. You can always decline or revoke the location permission for field visits in your phone's settings; visits remain loggable without it.

9. Cookies

TasqMan uses essential cookies for session management and authentication — these are strictly necessary for the platform to function and cannot be disabled while using the Service. We may also use analytics cookies to understand how users interact with the platform (e.g., page views, feature usage). You can disable cookies in your browser settings, but doing so may prevent certain features from working correctly.

10. Children's Privacy

TasqMan is not directed at individuals under the age of 18. We do not knowingly collect personal data from minors. If you are a parent or guardian and believe your child has provided us with personal data, please contact us at support@tasqman.com and we will promptly delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. For material changes — changes that significantly affect your rights or how we handle your data — we will notify you by email and/or via an in-app notice at least 14 days before the change takes effect. The "Last updated" date at the top of this page will always reflect the most recent revision. Continued use of the Service after changes take effect constitutes your acceptance of the updated policy.
